The schedule for this position will includes working Tuesday & Thursday, 8am-4pm one week, and Monday, Wednesday, & Friday 8am-4pm the next week. Employer matched Retirement Savings with free financial planning A commitment to growing our leaders, with at least 50% of our leadership positions being filled internally Key: *** = Full Time & Part Time Staff Only As an Administrative Assistant, you will carry out our Mission of Love by performing assigned administrative duties and clerical support in an efficient manner in accordance with established procedures, and as directed by the supervisor to assure that a successful, viable administrative program is maintained. Our Administrative Assistant is responsible for the following: Responsible for the screening process of all employees and visitors that enter through Star Points main entrance. Greet and direct all staff and visitors, field visitor questions. Follow agency visit protocols as outlined. Responsible for the functionality of all devices in the main area of the Star Points building to include employee computers, phone system, and Accushield machines. Serve as an integral part of the Human Resources department by being the first line of contact for employee inquiries. Triage employee questions to the HR Generalist and HR Director as necessary. Assist employees needing help with computer functions to include Workday tasks, Annual In-service completion, candidate applications, password resets, etc. Answer all telephone calls and direct caller to appropriate individual or department. Update SHCC and PC telephone directory for employees. Maintain a current file/listing of residents by name/number. Maintain list of residents who have CTB and prepare sympathy cards to be signed by employees and sent to family. Sort, distribute and route incoming mail to appropriate residents, departments, and/or personnel. Prepare and mail correspondence to resident's contact person as required. Responsible for operation and maintenance of postage machine and the supply of postage stamps. Provide administrative support services (typing, copying, printing and faxing reports, correspondence, filing, special projects, etc.) for department heads and other personnel. This includes creating resident Care Conference invitations per list sent by RNAC's for Nursing and entering seasonal menus in campus TV station (Touch Town) for Dietary. Receive inquiries and release information in accordance with established policies and procedures. Keep current the Front Desk Reference Guide and other job procedures. Sell guest meals and employee meal tickets. Uphold a high level of confidentiality with all resident and employee information. What You Have: Must possess a minimum of a high school diploma or equivalent. Effective written, oral, and organizational skills required. Must have knowledge and experience with Excel and Microsoft Word. Basic knowledge of Publisher and databases is helpful. Knowledge of the operation of general office equipment.
